Bills of exchange

Whenever goods are exported the buyer is intimated of the shipment by the exporter. This letter is called ‘Advice Note’. It contains details of goods sent, there prices, name of the ship, its expected date of arrival etc. Generally the shipping documents are handed over to the bank for collection of the bill, but sometimes they are directly forwarded to the buyer, if the relations are well established.
Documents
bill of landing (B. L.)
The B. L. contains details of the exporter’s name, number of packages, identity marks, importer’s name and the country to which they are shipped. There documents are sent to the importer through the bank and authorises the importer to take delivery of the goods after clearing customs and other dues.
Original Invoice
The first copy of the invoice is called original invoice. It is sent by the exporter to the importer and contains value and description of the goods, including markings of packages, etc.
Bill of exchange
This is an instrument for transfer of money from the buyer to the supplier. The importer of goods pays the stated amount at sight, as agreed upon in business terms.
1. Letter from seller to buyer abroad:
Dear Sirs,
Confirming our letter dated 24th November 2004, and having verified your account for the consignment by Samudra Raja, we have to advise you that we have today drawn a draft on you for Rs. 2,45,000 at two months sight. We trust that you will honour the draft on presentation, to be debited in our account.

2. Letter regarding bill for collection:
Dear Sirs,
We are pleased to enclose the following drafts for favour of collection:
Rs. 1,77 at sight on M/s Dyna Exports Rs. 4809 for August 2, on M/s Topto Ltd. Rs. 5400 for 25th May, on M/s Yu Ha & Co. Rs. 9770 for 10th May, on M/s Su Sa Bros.
We should be obliged if you would credit us with the proceeds and advise us of receipt by return mail.

3. Letter for accepting draft:
Dear Sirs,
With reference to your letter dated 14th September, we are pleased to inform you that we have accepted your draft for Rs. 2,45,394 which has been duly presented and honoured to the debit of your account.

5. Letter for refusal to accept bill:
Dear Sirs,
A bill drawn by you on us for the goods consigned by Samudra Raja, was presented today for acceptance. We refuse to accept the bill. The goods in question are not upto our expectations, the quality being so poor as to render them unsuitable for the requirement of this market, and we doubt if we could interest anybody in your product. We, therefore, hold the goods at your disposal.

6. Letter of reply for above letter:
Dear Sirs,
We are in receipt of your letter dated 5th July, and learn with regret that an error has been made in drawing upon you the value of our consignment. We assure you that this was entirely owing to a mistake on the part of one of our clerks. Instructions have been given for the bill to be returned to us and we apologies for the unnecessary trouble to which you have been put. We should be glad to have your enquiries for our other products when you are again in the market.
